Administration

· Administrative Offices: The Executive Director and members of the administrative staff are normally available between 8:30a.m. – 5:00p.m., Monday through Friday. Please try to address all non-emergency administrative needs during these hours.

· Concierge Sevices Desk: A receptionist is on duty 7 days a week from 8:30a.m. – 5:00p.m., in the lobby of the Community Center, to provide help with meal and event reservations, and general information. Additional services include sale of postage stamps, photocopying and faxing. Personal secretarial tasks for individual residents may be undertaken if Chateau workload permits (see list of ancillary charges).

· Communications: The varied means of communication include:
Channel 3: In-house television, which provides updated daily menus, information about upcoming events, birthdays, lost and found, property and other important announcements.
Calendar: This is delivered to individual units each month giving details of regular and forthcoming special events.
Bi-monthly Newsletter: A publication  for residents delivered to your door monthly.
Telephone Directory: An in-house directory of residents’ names and telephone numbers is published monthly.
Suggestion Boxes: Located at both east and west entrances to the Community Center. In Addition, comment cards and placed on each table in the dining room.
Sit & Chat Meetings: Residents meet with the Executive Director quarterly for an informal exchange of ideas, suggestions, (even complaints!), in a small-group setting.
Board of Directors Meetings: All meetings, with the exception of executive sessions, are open to residents. They are held monthly in the Dining Room. Dates, times, and agendas are posted on the bulletin boards.

· Gifts & Gratuities: Chateau staff are prohibited from receiving gratuities from residents and guests. However, the annual Holiday Gift Fund provides a means for rewarding staff for good service. You may donate to this each December, or if you wish, arrangements may be made with the Accounting Office to have a monthly contribution charged to your statement.

Residents wishing to give or sell specific items to members of the Chateau staff are requested, first, to get the approval of the Executive Director in order to minimize potential problems and ensure that violations of staff rules do not occur.

· Mail: Incoming mail is delivered by the U.S. Postal Service directly to individual boxes in Building A (for residents of A, E and F), Building B (for B & D) and Building C. outgoing mail may be placed in the marked boxes in these buildings left with the Concierge. Larger packages are delivered to your door by the mail carrier. The Chateau has daily pick-up and delivery service by UPS.

· Lost and Found: Please contact the Concierge services or the administrative office for lost or found articles; also watch Channel 3 for information.

· Notary: Notary service is available by appointment, and without charge. Please phone the Accounting Office to schedule a convenient time.

· Insurance: The Association maintains insurance policies according to the provisions of the governing documents. A brief statement regarding coverage, as well as a certificate of insurance, is issued to each owner as policies are renewed annually. Further information regarding coverage may be obtain from the Accounting Office.

· Monthly Statements: An individual statement listing unit owner’s assessment, basic cable TV service and ancillary charges is prepared at the end of each calendar month. Statements are normally delivered to the door of each unit. If you wish to have the statement mailed to an off-site address, please make arrangements with the Accounting Office. Accounts are due and payable on the 1st of the month, and become delinquent after 15 days, in which late fees will be assessed.

· Payment: May be placed in the box in the Concierge area of the Community Center or mailed to the Chateau Accounting Office. Checks should be made payable to: Chateau Lake San Marcos Homeowners Association.
